Privacy Policy
This Privacy Policy explains how ClientRelay ("ClientRelay," "we," "us," or "our") collects, uses, discloses, and protects information through clientrelay.agency and our AI chatbot, receptionist, automation, implementation, and support services (collectively, the "Services").
1. Information we collect
- Contact and business information: names, business names, email addresses, phone numbers, websites, locations, business hours, service details, and other information submitted through forms, checkout, onboarding, or support.
- Billing and subscription information: plan, subscription status, transaction and invoice details, and Stripe customer and subscription identifiers. Payment-card information is collected and processed by Stripe; ClientRelay does not intentionally store complete card numbers.
- Service content: configuration instructions, FAQs, scheduling rules, chat or call content, lead information, transcripts, recordings where enabled and lawfully disclosed, and other data processed to operate a client's assistant.
- Technical and usage information: IP address, device and browser data, pages viewed, referring URLs, timestamps, logs, diagnostics, and analytics or cookie information.
- Communications: messages and attachments sent to ClientRelay and records of support or service communications.
2. How we use information
We use information to provide, configure, secure, maintain, and improve the Services; process purchases and subscriptions; onboard and support clients; route leads, messages, and appointments; communicate about accounts, payments, and service changes; prevent fraud and abuse; comply with legal obligations; and enforce our agreements. Where required, we rely on an appropriate legal basis such as consent, contract performance, legitimate interests, or legal obligation.
3. Client and end-user responsibilities
When ClientRelay processes information on behalf of a business client, that client may determine why and how the information is used. The client is responsible for providing required privacy notices and obtaining any consent required for its website, calls, messages, recordings, or other workflows. End users may contact both the relevant business and ClientRelay with privacy questions.
4. How we disclose information
We may disclose information to service providers that support our operations, such as Stripe for billing, Vercel and database providers for hosting, Google for email, Calendly for scheduling, and AI, communications, telephony, analytics, and support vendors used to provide the Services. We may also disclose information to professional advisers; when directed or authorized by a client; to protect rights, safety, and security; in connection with a business transaction; or when required by law. We do not sell personal information for money.
5. Cookies and analytics
Our website uses essential local storage to remember settings. With your permission, we also use Google Analytics 4, provided by Google LLC, to understand page visits and measure actions such as demo bookings, checkout starts, and completed purchases. Analytics storage is denied by default and the Google Analytics tag is not loaded until you select “Accept analytics.” We do not send names, email addresses, phone numbers, or payment-card details to Google Analytics. You can accept, decline, or change your selection at any time through the “Privacy Choices” control in the website footer. Browser controls may also allow you to limit cookies, although some features may not function correctly.
6. Retention and security
We retain information for as long as reasonably necessary to provide the Services, maintain business and transaction records, resolve disputes, enforce agreements, and satisfy legal obligations. Retention may vary by data type, client configuration, and provider. We use reasonable administrative, technical, and organizational safeguards, but no system or transmission method is completely secure.
7. Your choices and privacy rights
Depending on where you live, you may have rights to request access, correction, deletion, portability, restriction, or objection, or to withdraw consent. To submit a request, email clientrelayco@gmail.com. We may need to verify your identity and may direct requests about a client's data to that client. You may unsubscribe from non-essential marketing email using the provided instructions; transactional messages may still be sent.
8. Sensitive information and children
Do not submit passwords, complete payment-card details, Social Security numbers, health records, or other regulated or highly sensitive information unless ClientRelay has expressly agreed in writing to support that data and appropriate safeguards are in place. The Services are intended for businesses and are not directed to children under 13. We do not knowingly collect personal information directly from children under 13.
9. International processing
ClientRelay and its providers may process information in the United States and other countries where privacy laws may differ. Where required, appropriate safeguards will be used for cross-border transfers.
10. Changes and contact
We may update this policy as our Services or legal obligations change. The effective date above shows the latest revision. Questions or requests may be sent to clientrelayco@gmail.com.
